FBD Bookkeeping and Accounting is the personal information controller for the information described here. You can reach us at info@fbdbookkeeping.ph.

To carry out bookkeeping, tax and business-registration work for you, we collect:

• Who you are — name, date and place of birth, sex, civil status, citizenship, parents’ and spouse’s names, and your government ID type, number and expiry.
• How to reach you — email, phone, residential address, and an emergency contact.
• Your tax identity — TIN, tax classification, RDO, and BIR registration details.
• Your business — trade name, registration numbers (DTI, SEC, CDA), address, line of business, capitalisation and employee count.
• Documents you upload — IDs, certificates, permits, receipts, invoices, bank statements and anything else you send us for a filing.
• Money — invoices we issue you, payments you make, and the proof of payment you upload.
• Your use of this portal — sign-in attempts, and a record of actions taken on your file.

Some of this is sensitive personal information under the Act — your government ID numbers and your tax records in particular. We ask for it only where the work requires it.

We use it to do the work you engage us for: preparing and filing your returns, registering and renewing your business, keeping your books, invoicing you, and telling you what we need from you and when things are due.

Our legal bases are the contract between us, our own legal obligations as a bookkeeping practice, and — where the Act requires it — your consent, which you may withdraw.

Government agencies we file with on your behalf: the Bureau of Internal Revenue, the Securities and Exchange Commission, the Department of Trade and Industry, your local government unit, and SSS, PhilHealth and Pag-IBIG where payroll work applies.

Service providers who operate this portal on our behalf: NEEDS FBD’S ANSWER — name your hosting and email providers and where they process data.

We do not sell your personal information, and we do not use it for advertising.

Books of account and their supporting documents are kept for ten years, as required by Revenue Regulations No. 17-2013 as amended by No. 5-2014. We cannot delete those earlier, even at your request, and we will tell you which records this covers if you ask us to delete your data.

Everything else: NEEDS FBD’S ANSWER — how long you keep records that are not statutory, and what happens when an engagement ends.

Access to your file is limited to the staff working on it. Every action taken on your records is logged with the name of the person who took it. Your password is stored in a form that cannot be reversed — nobody at FBD can see it, and we will never ask you for it.

If your personal information is ever compromised in a way that puts you at real risk of serious harm, we are required to tell you and the National Privacy Commission promptly, and we will.

Under the Act you have the right to:

• Be informed — which is what this notice is for.
• Access what we hold about you. Your portal profile has a “Download my data” button that gives you all of it.
• Correct anything inaccurate or incomplete. We must fix it and tell anyone we had already passed it to.
• Object to processing, and to withdraw consent where consent is the basis for it.
• Erasure or blocking — you can ask us to remove your information, subject to the statutory retention above.
• Data portability — take your data in a structured, commonly used electronic format. That is the same download.
• Damages if you suffer because we handled your information wrongly.
• Complain to us at info@fbdbookkeeping.ph, or to the National Privacy Commission.
